How do I track CE credits for license renewal?

For each license, write down the renewal date, the total CE hours your board requires and any category rules, such as ethics hours. Log each course once with its date, provider, hours, category and whether you've saved the certificate. Count only courses that fall inside the current renewal period, and check your totals a few months before the deadline.

How to set it up

  1. Get the requirements from your board's own website, not from a course vendor or a colleague. Note total hours, category minimums, any limits on online or self-study hours, and the renewal date.
  2. List each license separately if you hold more than one, even in the same state. Each has its own period and rules.
  3. Log a course as soon as you finish it, and save the certificate right away. Certificates sitting in an old email are the usual reason for a scramble at renewal time.
  4. Count only courses dated inside the current period. Last cycle's extra hours usually don't carry over, unless your board says they do.
  5. Check category totals, not just the overall total. You can have enough hours overall and still be short on a required category.
  6. Look at it a few months before renewal, so you have time to find the right course if you're short.

CE requirements vary by board and profession and can change between renewal cycles. Check with your licensing board before you rely on any total.

A template that does this

Our License & CE Renewal Tracker ($9, Excel and Google Sheets) works this way. You enter each license with its renewal date, total hours and category requirements. Each course can count toward up to three licenses, and only courses inside each license's current period are counted. The dashboard shows days to renewal, hours still needed by category, and any course with no certificate filed.

Common follow-up questions

I'm licensed in more than one state. Can one course count for both?

Sometimes. Each board decides which providers and course types it accepts, so a course may count for one license and not the other. Check each board's rules, then credit the course only where it's accepted.

How long should I keep CE certificates?

Keep them at least as long as your board says it may ask for them in an audit. That can be beyond the renewal date, so check your board's record-keeping rule.

Does my board accept online or self-study courses?

Many do, sometimes with a limit on how many hours can be self-study. Your board's CE page or rules will say.
